Mosquito Beemers Meeting Minutes for March 2005

Meeting was called to order at 6:10 Pm by President Ernie Conover at Panera Bread, Warren.

1. Minutes from the February meeting were read and approved.

2. Treasurer reported a disbursement of $50 to Leos for Xmas party deposit. Club account balance stands at $2155.78.

3. Secretary will make available an updated membership roster ASAP. President will distribute this to all club members.

4. President reported that we still need two additional members to join the RA so that the Mosquito Beemers can be listed as an RA chapter. Ron Reese, Bob Woofter and Ron Smith said they would join.

5. A discussion was held concerning membership growth as it relates to BMW dealers. It was discussed and determined that we will grant purchasers of new motorcycles at both Roman's and Kramer's a free one year membership to the Mosquito Beemers. We will also grant the dealership a membership of their own and a certificate attesting to the same. We will make available to the dealer packets to be distributed to said new purchasers containing a membership card and other appropriate information. It was also decided to include a club membership form on our web site.

6. Ernie reported speaking with Roslyn Tuesday and that the web site is being updated. It was pointed out to Ernie that while Roslyn is and has done an outstanding job with the web site a backup web assistant would be wise in the event of unforeseen contingencies and or emergencies.

7. A discussion was held concerning the ERC (Experienced Rider Course) at our rally. At this time the state is approving the course not for Friday and Saturday as originally conceived but for Saturday and Sunday. It was therefore determined that the Saturday class would be reserved for non-club rally guests, and that a second class would be held at a more convenient day and time for club members. Member Mike Butler said that both he and Wendal Shaw will instruct, that the class is scheduled to start at 2PM and run for five hours, and that with the assistance of a volunteer or two from the club the class might be able to begin and end earlier. Concerns were expressed regarding the late ending of the class in regards to our Saturday dinner at the rally grounds. Ernie stated that there were no problems that we couldn't deal with and that offering the class was more important. It was suggested that class students simply eat later than the scheduled dinner time. In any event, these details will be worked out. (Note from last meeting, class is limited to 12 students). In lieu of student tuitions to be collected, the club issued a check in the amount of $300 to the MSF.

8. Activities: Bob Woofter suggested holding a club swap meet in conjunction with Roman's open house scheduled for a weekend in May. Members present were in favor. Details will follow.

9. Bob Woofter also proposed a club ride into Canada the 4th of July weekend. Ride, to last 4 days beginning Friday. Route will be north thru the Bruce Peninsula to Tobermory, across the mouth of Georgian Bay by ferry, thence to Espanola, Parry Sound, Midland, Barrie, Toronto and home. Woofter suggested inviting the Loonie Tics and any other interested riders. Membership was in favor, details to follow.

10. Woofter brought up the subject of name tags for every member. Tags would employ the club logo, club name and member's name. Ron Smith was asked and accepted the task of researching.

Program. 7PM

David Weldele of the Centers for Hearing Care gave a very entertaining and educational presentation on the dangers of hearing loss as it relates to motorcyclists. He discussed the decibel levels of motorcycle noise and wind noise and sound duration in damaging hearing. Also discussed was a comparison of several different types of hearing protection that are applicable to bikers as well as the longevity and maintenance requirements of each. Following the discussion several members were fitted for custom hearing protection. Other members present will visit the hearing office in Howland for fitting.

Treasurer's Report: Prior Month's balance was $1367.17. We had an income of $160.00. There were no expenses. Final Balance in the account is $1527.17

Old Business:

1. Ride Warm Party will be Saturday, October 2, 2004. We will be grilling hamburgers and hot dogs starting at 11:00 AM at Roman Cycle Shop in Austintown, Ohio. The raffle winner for the Gerbings suit will be drawn at 2:00 PM. We have sold approximately $400 worth of tickets.

2. Bob Woofter contacted Panera Bread on Elm Road in Warren and they have agreed to allow our club the use of their community room for meetings on Wednesday evening beginning in January 2005.

New Business

1. New Members:

2. Fall Ride: Bob Woofter is putting together plans for our Fall Ride. The destination for the ride will be a tour of some of Ashtabula County's 18 covered bridges. He will contact members Dan and Denise Miller as they are Ashtabula County natives. This ride was also scheduled last Fall but torrential downpours resulted in its cancellation. Other clubs will be invited as well.

3. Christmas Party: Larry Elliott will contact local restaurants and check availability of a party room in which to hold our Club's Christmas Party. He will contact Vernon's Café, Alberini's Restaurant, and DeLucia's. The first preferred date will be one of three Saturdays in December followed by a Friday night if the Saturday dates are unavailable.

Order of Business:

Treasurer's Report: Prior Month's balance was $1151.58. We had an income of $2266.00. Expenses were $2051.26. Final Balance in the account is $1371.32.

Old Business:
1. The Rally was a success considering that it rained nearly the entire weekend. The average attendee traveled at least 150 miles with many traveling over 300 miles. Bob Woofter mentioned that Roslyn Torella created a CD that has photos taken by Ernie Conover set to music. We will talk with Ernie and see if we can make more to sell/distribute.

2. There was a discussion about the issue of the band charging the club $500 to perform. This was unanticipated and member John Weston, who arranged for the band, paid the band out of his own pocket. John indicated that this was a donation to club. The membership discussed how much, if any, should be given to John. Bob Woofter will talk with John further to determine if the final cost of the band was indeed $500. The issue will be discussed further at out next meeting when more members will be present.

3. Gerbings Raffle tickets are printed and were distributed to members at the meeting. The Gerbings gear outfit will be raffled off at the Ride Warm Party to be held at Roman's Cycle Shop on October 2, 2004.

Order of Business:

1. New Business: Rally Details: We have contacted Warren Recycling for garbage pick up and it will cost $20 - $50 per dump truck. Prizes and Awards: Roman's Cycle will donate a jacket. Food: Bazetta Christian Church is interested in providing breakfast. Vendors: Roman's Cycles is interested in setting up a vendor booth as well as Cycle Leather. White Horse Press will donate a gift and we can hand out their catalogs. Other vendors include Helen 2-Wheels and Lee's Motorcycle Accessories. Entertainment: We have a band committed to play for free.
Plans for Spring Camp-out discussed. To be held weekend of June 19-20
at Cook Forest State Park, Cooksburg, Pa. There was a motion to print up business cards that can be given to friends who are interested in the club. Members thought it was a good idea and samples will be made by Roslyn Torella. Motion tabled until we have price estimates.

Following the meeting, Bob Woofter presented an informative seminar on motorcycle camping.

Mosquito Beemers Meeting Minutes for 04/25/04

Meeting called to order by: Bob Woofter

Order of Business:
1. Reading of minutes from the meeting of March 28, 2004 was dispensed
with.

2. The treasury has a balance of $1235.83. This was presented by Bob
Woofter for the Treasurer who was absent

3. Committee Reports:
Membership: A second dues notice was sent out for those who have not yet
renewed. There are five members who have not renewed and we have two
new members.

4. Unfinished Business: The Spring Picnic/Camp Out will be June 19-20th at
the Locust Lodge in Cooks Forest, Cooksburg, PA.

5. New Business: There was a discussion regarding club purchases. It was
discussed that when making a purchase, it should be discussed before
hand in case a member may have the item and can donate it or loan it to
the club. There should be a set limit on how much can be spent without a
vote, such as $50.00. This would not apply to recurring expenses. Also if
an item would become a club asset, then it should be voted upon before
purchase. A committee was appointed to study this issue and submit a
report which once voted upon will amend the by-laws.

6. There was a motion to adjourn by Dick Beryle and it was carried.

Officers present: President - Bob Woofter; Vice President - Rod Sanlo;
Secretary - John Smiley; Treasurer - Larry Elliott; Director - Ted Sanders, Dave Boggio, Cliff Masink. Absent - Mike Essell.

Order of Business:

1. Reading of minutes of last meeting dispensed.
2. Financial Report: Income during March: $315.00; Debits: $23.51 for ledger book; New Balance: $764.49.
3. Committee Reports: Roslyn Torella gave a report on the new club T shirts. Sample modeled by Ron Reese and an order form was passed amongst members. Pictures of shirts and an order form will be added to the Club Store page on the web site. Shirts look great.
4. Unfinished business: John Smiley unanimously elected Secretary for 2004.
5. New Business: Welcomed new member Doug Welker.
Plans for Spring Camp-out discussed. To be held weekend of June 19-20
At Cook Forest State Park, Cooksburg, Pa. Participants may camp, stay in
Cabins. Additionally, Cook Forest is within an easy drive from the
Youngstown/Warren area so that non-campers may come to day-picnic
and attend the stated meeting.
6. June stated meeting to be moved from fourth weekend (June 27) to third
at Cook Forest.

Rally Committee Meeting

Vendors:
Bob Woofter: One or two local food concession vendors will be invited to provide lunch options during the day.

Road Rescue:
Ted Sanders: Pat Fletcher has volunteered to provide back-up rescue service with his truck and trailer.

Finance:
Dick Beyerle: Dick has created a form for rally finance projection. Estimated/real expenditures will be plugged in when provided by various committee chairmen.

Awards and Prizes:
Dave Mead, John Hudak: John and Dave need rally posters prior to calling on retailers for donations.

Committee Site:
Mike Essell: Fair board secretary's name, Jack Lammers, and contact info provided by Bob W to Rod Sanlo in Mike's absence. Rod will contact Jack regarding garbage arrangement and other matters.

Security:
Cliff Masink: John Weston's contact info provided to Cliff by Bob W.

Registration:
Roslyn Torella: A source for pins has been found, tentative design and prices received. A source (recommended by Larry Ward) has been found to offer the best prices for club and rally shirts. Rally shirt will feature same art as club shirt with only the lettering to be unique. Rally date will be excluded allowing leftovers to be used next year.

Public Relations:
Larry Ward: Larry has created a rally poster mock-up and will proceed with production upon receiving art. Posters/flyers to be distributed to retailers and other rallies. Larry will also do layout for MOA Owner's News.

Food:
Ron Reese: Bob W gave Ron a sample menu from Buzzard's Box, an on-site barbecuer/caterer. Food cooking options will be examined by Ron.

Entertainment:
Ernie Conover: Ernie was not present due to previous commitments.
